CVL Collections Subcommittee Meeting

1. Marian as Chair:

Marian gave a report of the CVL Steering Committee's decision to assign a Steering Committee member to chair each subcommittee.

2. Handouts:

Miko explained the handouts being distributed:

2.1. Database evaluation examples: UK Medical Center, Washington State Project, KLN Full-Text Database
2.2. OCLC FirstSearch: List of databases, ECO, FS Listserv signup info
2.3. UMI's Dow Jones' title list
2.4. Booklist's article on full-text comparison
2.5. One-page database trial passwords

3. Database Evaluation Criteria:

The subgroup (Charlene, Cathy, Bonnie and Miko) will work on an evaluation form based on Washington state's and KLN's forms and email it to members next week. Miko will try to put this on CVL website asap.

4. Vendor Evaluation Criteria:

The subgroup will work on this and have this ready before the vendor presentation in August.

5. FirstSearch:

Electronic Collection Online (ECO) has been added to the FS base package as of May and base package subscribers have full access to ECO's full-text journals free in May and June. No consortium pricing is available.

6. Database Evaluation Process:

Members will recruit their colleagues to evaluate databases contained in our list, such as business librarians for business databases, etc. The entire group will incorporate all input in coming up with the rating.

7. List of Databases:

Numbers 1 through 5 are called "Foundation Databases" and are already prioritized. Agricola was added to the list as #31. Members are to rank #6 through #31. The subject listing of databases from Washington state was used as the basis for classifying our list to facilitate our evaluation.

8. Free Websites for k-12:

Bonnie volunteered to gather this.

9. Assignments:

9.1. Database Evaluation Form: Subgroup will design a form and Miko will email this or put on the CVL website next week.
9.2. Subject List of Databases: Miko will work on this and put on CVL website next week to be used for ranking.
9.3. Ranking of Databases: All members are to assign "high, medium, or low" to each database and send to Miko by July 15.
9.4. Database Evaluations: All members are to complete this for each database and send to Miko by July 23.
9.5. Contract Process: Miko will find out from CPE on the process for contracts.
9.6. Trial Passwords: Miko will continue obtaining trial passwords.
9.7. Statistics: Miko will inquire on needed stats for special libraries from vendors.
9.8. NC LIVE Presentation: All members are to email Miko by July 1 on what issues to be addressed for the detailed session for Collections Subcommittee members on July 31 1:00 p.m so that we can maximize this session.

10. Next Meeting:

Next meeting will be on July 30, Thursday, 10:00 - 12:00 in KIRM Conference Room.
